OUT TO LUNCH 2025 VENDOR APPLICATION


The 2025 Out to Lunch Festival & Farmers’ Market will feature ten weeks of live performances, crafters, food vendors, farmers, and community organizations on the Worcester Common!


The events will take place from 11 am to 3 pm every Wednesday from June 18 through August 20, 2025 (June 18, June 25, July 2, July 9, July 16, July 23, July 30, August 6, August 13, August 20; Alternate Rain/Weather Dates: August 27 & September 3).


The Downtown Worcester Business Improvement District (BID) is excited to be leading Out to Lunch planning and organization again this year, in partnership with the City of Worcester.


This is a GREAT year to take part in Out to Lunch. The BID was recently awarded an Urban Agenda Grant to expand the annual Out to Lunch series in 2025! This grant will allow the festival to grow from six to ten dates, expand farmers' market resources, increase production for arts programming, add more vendors, provide additional marketing support, and more.


The planning team is seeking the following vendors for the 2025 Out to Lunch Festival & Farmers' Market: 


  • Local farmers to sell their produce, goods and wares. 
  • Vendor Fee: $25/week per 10 'x 10' booth
  • Exclusive offer for farmers: A 20% Full Season discount is available to farmers that you vend at all ten events. A 10% Half-Season Discount is available to farmers that vend at five events. 


  • Crafters and artisans to sell and show their handmade goods and wares. For artists and crafters, only one-of-a-kind hand-crafted items are permitted for sale. 
  • Vendor Fee: $25/week per 10' x 10' booth


  • Food trucks/trailers and local restaurants to sell their freshly and locally made meals. 
  • Vendor Fee: $55/week per truck/trailer or 10' x 10' booth


  • Local non-profits to promote their mission, programs, and events. 
  • Vendor Fee: $15/week per 10' x 10' booth (City of Worcester/municipal organizations exempt)
  • Non-profit booths are encouraged to provide an interactive experience/activity (e.g. face painting, games, photo booth, bowling etc.).

All applications will be reviewed by the planning team and applicants will be notified if they have been accepted as a vendor by Wednesday, April 9.

Please note the following 2025 Out to Lunch policies:


The deadline for applying is Monday, March 24, 2025. All applications will be reviewed by the planning team and all applicants will be notified if they have been accepted by Wednesday, April 9, 2025. Vendor spots will be considered confirmed after payment of vendor fees and acknowledgement of the 2025 Vendor Guide.


Vendor Fee(s): Fees for the season will be requested prior to event start date to ensure vendor participation. Due to high volume of vendors, season fees are requested in full. All Out to Lunch vendors will be emailed an electronic invoice. Vendor payments may be made by credit/debit card or by check.


Checks should be made payable to: Downtown Worcester BID, Mailing address: 44 Portland Street, 3rd Floor, Worcester, MA, 01608.


Weather: Out to Lunch Festival and Farmers' Market is a rain or shine event, however the organizers reserve the right to cancel if the weather forecast becomes too severe or dangerous due to heavy rain, thunderstorms, high winds, or other extreme conditions.


Cancellation/Refund Policy: In the event that organizers cancel Out to Lunch due to inclement weather or emergency, vendors will be notified via email and offered a makeup date, if available (August 27 or September 3). If a makeup date is unavailable or the vendor is unable to attend the offered date, a refund for the cancelled date will be made.


In the event of cancellation made by the vendor, a minimum of two weeks notice is required to receive a refund.


Tents/Weights: Vendors MUST supply their own pop-up tent(s) (no larger than 10'x10'), tent weights, tables, and chairs. Tent weights are REQUIRED, as no staking is allowed on the grass of the Worcester Common,

Marketing:The Out to Lunch planning team is preparing a multi-media marketing campaign including social media, radio, email, print, and more. Accepted vendors are required to submit several high-quality photos of their logo, product, or display for promotional purposes. Accepted vendors are also required to promote the Out to Lunch Festival and Farmers' Market to their networks and communities. Upon confirmation of participation, additional marketing assets and guidance will be provided to all approved vendors.
